Registrar for Exhibitions and Loans

This role is responsible for a broad range of registration functions of which primary duties include assistance with the care, maintenance, and preservation of PSAM permanent collection loans and temporary exhibition art works. The incumbent supports the performance of the registration functions relative to temporary exhibitions and permanent collection loans including loan agreements, condition reports, insurance, and transit arrangements. The Registrar for Exhibitions and Loans is required to exercise discretion and judgment in actively managing both the art works owned by other institutions or individuals that are part of temporary exhibitions or otherwise on loan to/from the museum. The Registrar may serve as supervisor to interns or volunteers.      

DUTIES & RESPONSIBILITIES   

  • Assist the Manager of Collections and Exhibitions with exhibitions and loans in all duties.    
  • Support with the completion of condition reporting for incoming and outgoing loaned artworks and determine whether damage or deterioration to objects has occurred.    
  • Complete the loan paperwork for the processing of all incoming and outgoing loan requests in consultation with the Manager of Collections and Exhibitions.    
  • Perform general administrative duties such as filing, copying, running errands, and general data entry as it relates to temporary exhibitions.    
  • Complete special projects and basic research as assigned.    
  • Handling of artworks on loan and permanent collections as needed. Follow guidelines for the care and handling of artworks.   
  • Assist Preparation staff with packing artwork as needed.   
  • Assist with preparing and executing reproduction contracts and create and manage reproduction contract digital files for temporary exhibitions.    
  • Monitor conditions of environment and artwork in galleries.    
  • Maintain artwork in galleries to ensure care is taken and all is in good order.    
  • Assist with the annual inventory of the permanent collection and temporary loans.    
  • Assist with logistics of artwork shipments and location tracking for all loans.    
  • Keep informed regarding approved and current registration standards as well as basic conservation.    
  • Act as courier of high value or fragile objects when loaned to other institutions. Assist with transportation and lodging arrangements for traveling couriers.    
  • Monitoring of artwork handling by all art handlers during installation and de-installation.   
  • Maintain collections storage areas to ensure the safety of the art, including cleaning and regular inspection.   
  • Keep workspaces well organized and inform Manager of Collections and Exhibitions of any equipment or supplies that require procurement.   
  • Help coordinate related digital collections documents for loans and exhibitions.   
  • Run database reports for distribution to other museum departments as requested or needed.

QUALIFICATIONS & REQUIREMENTS

  • Completion of an undergraduate degree, such as a Bachelor of Arts (BA) in art history, museum studies, cultural heritage studies, archaeology, visual culture, or an equivalent qualification. Master’s degree in museum studies, art history, or related field of study preferred.   
  • Minimum of 2 years’ museum registrar experience with a focus on collections management and/or exhibitions.    
  • Experience working with museum database programs, such as TMS (preferred) or similar systems.    
  • Experience in art handling and preparation for a museum, gallery, university, art mover, or similar institution.

  •    Strong administration and coordination skills, with a methodical approach and attention to detail    
  • Excellent verbal and written communication skills and ability to communicate effectively with internal and external stakeholders at all levels.    
  • Thorough knowledge of best practices regarding museum collections, exhibitions, and loans   Ability to work independently and deliver work within the agreed timeframes.    
  • Strong computer skills, including the use of Microsoft Office applications, email services and the internet as well as a willingness to learn new computer skills as required.

  • Other than reliable transportation to work, travel is generally minimal but may include trips to offsite storage or to examine works on loan to local entities. Courier travel may be requested for permanent collection loans.   Additional Eligibility Qualifications   
  • Relevant training certifications in industry topics helpful.   Work Authorization/Security Clearance    
  • Proof of eligibility to work in the United States. Criminal, Civil background clearance.    

PHYSICAL REQUIRMENTS  

  • Work Environment: 
    • This job operates in a museum that includes an office setting, storage facility and exhibit areas.
    • There must be no hazards present in an office setting to avoid mishandling of artifacts.   
  • Physical Demands: 
    • Sits, reaches, walks, climbs, and lifts intermittently throughout the workday so the requirements of this position can be fully met. 
    • Able to lift, push, pull, and move equipment, supplies, etc., of 25 pounds throughout the workday.   
    • Able to adapt to and work from various locations so the requirements of this position can be fully met.  
    • Willing, as necessary, to work beyond normal working hours, on weekends, and remain accessible when away from the Museum so the requirements of this position can be fully met.   
    • This role would require the ability to operate equipment such as ladders, shelves, cabinets, computers, machinery.
